1. Definitions

  • “Company” / “We” / “Us”: Little Rowfold Doggy Day Care LTD.

  • “Client” / “You”: The dog’s legal owner or authorised guardian using our services.

  • “Dog” / “Pet”: The animal registered by the Client for care.

  • “Services”: Doggy day care, enrichment activities, supervised play, training add-ons (if applicable), transport (if applicable), and related services provided by the Company.

  • “Premises”: All areas used by the Company to deliver Services, including indoor and outdoor spaces.

  • “Session” / “Day Care Session”: A booked attendance period for the Dog at the Premises.

2. Scope of Services

  • We provide supervised day care with structured play, rest, and enrichment tailored to age, breed, and temperament. We only accept dogs over 3 months.

  • We may group dogs by size, play style, and temperament for safety.

  • Add-on services (e.g., basic training, transport) are subject to availability and separate fees.

  • We reserve the right to refuse, suspend, or terminate Services at any time to maintain safety and welfare standards.

3. Client Eligibility & Registration

  • The Client must be at least 18 years old and the legal owner or authorised guardian of the Dog.

  • The Client must complete our registration form, provide accurate information, and update us on any changes (health, behaviour, address, contacts).

  • A trial/assessment session will be required before full admission.

  • We may request proof of identity and address for security and compliance.

4. Health, Vaccinations & Parasite Control

  • Dogs must be fully vaccinated in accordance with UK veterinary guidance (including core vaccinations for distemper, parvovirus, adenovirus; leptospirosis; and Bordetella/kennel cough strongly recommended).

  • Vaccination records must be provided and kept current; we may refuse entry if vaccination status is unclear or expired.

  • Dogs must be free of contagious illness and parasites; regular flea/tick/worm prevention is required.

  • If the Dog shows signs of illness (e.g., coughing, diarrhoea, vomiting, conjunctivitis, skin infections), do not attend and notify us immediately.

  • Dogs must be spayed or neutered, exceptions made for puppy’s under 6 months.

  • We may isolate a symptomatic Dog and contact the Client; collection must occur promptly.

5. Behaviour & Safety

  • All dogs attending Little Rowfold Doggy Day Care LTD must be well-socialised and display appropriate behaviour in a group setting. The Client must disclose any history of aggression, reactivity, resource guarding, anxiety, bite incidents, or behavioural concerns.

  • Dogs should be comfortable interacting with other dogs and humans without persistent aggression, excessive dominance, or severe anxiety.

  • We implement professional safety protocols; however, dogs interact physically and minor injuries (scratches, nicks) may occur.

  • The Client must disclose any behavioural issues, including but not limited to:

    • Aggression towards dogs or people

    • Resource guarding (food, toys, space)

    • Excessive barking or destructive tendencies

    • History of biting or snapping

  • We may use timeouts and structured rest to reduce arousal. Persistent unsafe behaviour may result in suspension or termination of services.

  • The Client agrees to cooperate with any recommended training or behaviour plans before re-admission.

  • We reserve the right to refuse entry to any dog whose behaviour poses a risk to staff, other dogs, or property.

6. Food, Medication & Special Needs

  • Food: Provide labelled food and feeding instructions; we can provide house treats.

  • Medication: Provide medication in original packaging with dosage instructions. We administer non-injectable medications as a courtesy where trained staff are available; we are not a veterinary practice.

  • Allergies & sensitivities must be disclosed in writing.

  • Special/medical needs will be accommodated where reasonably practicable; we may require a vet letter.

7. Emergencies, Vet Care & Consent

  • In the event of illness or injury, we will:

    • Provide first aid;

    • Contact the Client and/or nominated emergency contact;

    • Arrange veterinary care at Pets practice, Billingshurst or nearest available practice.

  • The Client authorises us to act in the Dog’s best interests and consents to veterinary treatment as advised by a qualified vet.

  • The Client is responsible for all veterinary costs, medications, transport, and related expenses.

  • If we cannot reach the Client, we will make reasonable decisions to protect the Dog’s welfare.

8. Fees, Payment & Billing

  • Pricing: See our current price list on our website.

  • Payment terms: Payment due at time of booking.

  • Accepted methods: Card via online payment.

9. Booking, Cancellations & No-Shows

  • Booking window: 12 hours in advance

  • Cancellation policy:

    • Cancellations with at least 48 hours’ notice: full refund/credit.

    • Cancellations within [48] hours: [50 %] charge.

    • No-shows: full fee charged.

  • Changes are subject to availability.

  • Peak Periods & Holidays: During high-demand periods (e.g., school holidays, Christmas), cancellations require 72 hours’ notice. Late cancellations will be charged in full.

 

10. Drop-Off, Pick-Up & Late Fees

  • Operating hours:  Monday – Friday 7.30am – 6.00pm , Saturday 9am – 4pm, closed Sunday.

  • Dogs must be dropped off and collected within opening hours. Hours needed outside of operating hour must be prearrange and paid for in advance.

  • Late collection fees: £10 per 15 minutes after closing. Persistent lateness may result in withdrawal of service.

  • If the Dog is not collected and no contact is made within 15 minutes, we will attempt to reach all contacts; if unresolved we will follow advice from authorities and animal welfare charities (fees continue to accrue).

11. Collars, Leads, Harnesses & Personal Items

  • Dogs must arrive with a secure collar/harness and ID tag per UK regulations.

  • Provide any necessary muzzles where required and advised by a behaviourist.

  • Label all belongings; we are not responsible for loss or damage to personal items (toys, bedding, leads).

12. Photography, Video & Marketing Consent

  • We may take photos/videos for updates, safety records, and marketing.

  • By using our Services, you consent to reasonable use of your Dog’s image on our channels unless you opt out in writing.

  • We will not share Client personal data alongside images without explicit consent.

13. Data Protection & Privacy (UK GDPR)

  • We process Client and Dog data to deliver Services, ensure safety, and meet legal obligations.

  • Lawful basis: Contract performance and legitimate interests; marketing uses consent.

  • Data collected: Contact details, emergency contacts, dog health/behaviour info, attendance, invoices, media.

  • Retention: We retain records only as long as necessary for the purposes above and legal/accounting obligations.

  • Your rights: Access, rectification, erasure, restriction, objection, and data portability where applicable.

  • Security: We take reasonable organisational and technical measures to protect data.

14. Liability & Risk Allocation

  • While we operate with professional care, dogs are animals and risk cannot be eliminated. By using our Services, you accept inherent risks of dog interaction, play, and transport.

  • We are not liable for:

    • Minor injuries, scrapes, or play-related nicks;

    • Pre-existing conditions exacerbated during normal activity;

    • Loss/damage to personal items;

    • Third-party actions beyond our control.

  • Nothing in these terms limits or excludes liability for death or personal injury caused by our negligence, fraud, or any liability that cannot be limited under applicable law.

  • Our total liability for losses arising from the Services is limited to the fees paid for the relevant booking, except where prohibited by law.

  • The Client remains responsible for the Dog’s behaviour and agrees to reimburse costs arising from damage or injury caused by their Dog to property, staff, other clients, or other dogs (except where caused by our negligence).

15. Insurance

  • We maintain appropriate business insurance.

  • We recommend that the Client hold pet insurance covering day care activities, emergency treatment, and third-party liability.

16. Missing Dog Protocol

  • We operate secure handling and entry/exit procedures.

  • In the unlikely event a Dog escapes, we will enact our emergency response, notify the Client, contact local authorities/vets, and organise search efforts.

17. Standards, Welfare & Complaints

  • We adhere to UK welfare standards and best practice for dog day care operations.

  • To raise a concern or complaint, contact info@littlerowfold.co.uk. We aim to acknowledge within 48 hours and resolve promptly.

18. Force Majeure

  • We are not liable for delays or failure to perform due to events beyond our reasonable control (e.g., extreme weather, disease outbreaks, utility failures, transport disruptions, government restrictions).

19. Termination

  • Either party may terminate Services with written notice.

  • We may immediately terminate if safety, welfare, or payment issues arise.

20. Changes to Terms

  • We may update these Terms from time to time. The latest version will be posted on our website and applies from its effective date.

21. Governing Law & Jurisdiction

  • These Terms are governed by the laws of England and Wales.

  • The parties submit to the exclusive jurisdiction of the courts of England and Wales.

22. Acceptance

  • By booking or attending our Services, you confirm you have read, understood, and agree to these Terms.
